Privacy Policy
StayDublin lets furnished rooms, studios and apartments in Dublin. To do that we need a small amount of personal data from the people who enquire, join our mailing list or rent with us. This notice says what we collect, why, how long we keep it, who sees it, and what you can ask us to do with it.
Who is responsible for your data
The data controller is StayDublin, the operator of this website and of the accommodation listed on it, based in Dublin, Ireland, and powered by Delaney Group Developments. You can reach us about anything in this notice at [email protected].
What we collect, and why
When you enquire about a property
Your first and last name, email address, phone number, and optionally a preferred move-in date and a message. We use these to answer your enquiry, tell you what is genuinely available, and agree your stay. Lawful basis: taking steps at your request before entering into a contract (GDPR Article 6(1)(b)).
When you join the mailing list
Your email address only. We use it to tell you when a room comes up. Lawful basis: your consent (Article 6(1)(a)), which you can withdraw at any time using the unsubscribe link in any email we send, or by writing to us.
When you rent with us
Your name, contact details, the property and room you occupy, the dates of your stay, rent and deposit amounts, a record of the bank transfers you make to us, and any messages or maintenance requests you send through the app. We use these to manage your tenancy, keep track of rent, issue receipts, look after the property and keep in touch with you. Lawful basis: performance of the contract between us (Article 6(1)(b)) and our legal obligations to keep financial records (Article 6(1)(c)).
When you visit the website
Our hosting provider records standard server logs, including your IP address, the pages requested, and the browser used. We use these to keep the site running securely and to diagnose faults. Lawful basis: our legitimate interest in running a secure service (Article 6(1)(f)). We do not run advertising or tracking cookies, and no analytics cookies. Our own server keeps an anonymous count of page views by day, page and referring website, with no IP address or identifier stored, so it cannot be linked to you. If you send an enquiry or sign up to hear about rooms, we save with it the name of the website that sent you to us, the page you arrived on and any campaign tag in the link, so we know which listings and links are working. See the cookie notice.
When you search through an AI assistant
You can ask an AI assistant such as ChatGPT or Claude to check our rooms using the StayDublin app or connector. When it searches for you, the assistant sends us only the search itself: move-in and leaving dates or length of stay, type of home, budget, how many people and, if you ask for one, a short note to put in the enquiry form. It does not send us your name, email address or phone number, and our app never asks for them; you enter those yourself on our website if you decide to enquire. We use the search to answer it with the homes that are free. We do not store the search or link it to you: we keep only a daily count of how many searches were made, by type, with nothing that identifies who made them. Like any request to our website, it passes through our hosting and network providers' standard server logs (see below). Lawful basis: our legitimate interest in answering the search you asked for (Article 6(1)(f)). The conversation itself is between you and the AI assistant's provider and is covered by their privacy policy, not ours.
Who we share it with
We do not sell personal data and we do not share it with anyone for marketing. It is processed on our behalf by:
- Our hosting provider, which runs the website and its database on servers in the European Union.
- An email delivery service, used to send you the emails you have asked for or that your tenancy requires.
- Our network provider, which carries traffic to the website and protects it from attacks. Like any web server it sees your IP address while delivering the page.
No payment processor is involved. Rent and deposits are paid by bank transfer directly to us, so no third party handles your payment details on our behalf.
Accommodation partners that list our rooms receive availability and price information only. No name, email, phone number or booking reference is ever included in what they receive. We will disclose personal data where the law requires it, for example to An Garda Síochána or a court.
How long we keep it
- Enquiries: until the enquiry is closed and for up to 12 months afterwards, so we can follow up if a suitable room comes free.
- Mailing list: until you unsubscribe. An unsubscribed address is kept on a suppression list so we do not email it again.
- Tenancies and payments: for the duration of your stay and for 6 years afterwards, as Irish tax and company law require for financial records.
- AI assistant searches: not stored. Only a daily count of searches is kept, for up to about 13 months.
- Server logs: a short rolling period set by our hosting provider, typically days rather than months.
Your rights
Under the GDPR you can ask us to:
- Access the personal data we hold about you and receive a copy.
- Correct anything that is inaccurate or incomplete.
- Erase your data where we no longer need it. We cannot erase financial records we are legally required to keep.
- Restrict or object to processing that relies on our legitimate interests.
- Port data you gave us to another provider in a machine-readable form.
- Withdraw consent at any time, where consent is the basis we rely on.
Email [email protected]. We will respond within one month. There is no charge. If you are not satisfied with our response you have the right to complain to the Data Protection Commission, 6 Pembroke Row, Dublin 2, D02 X963.
Security
The site is served over HTTPS only. Access to tenant and enquiry data is restricted to StayDublin staff who need it, behind individual logins, and staff actions on records are logged. We never ask for or store card details.
Children
Our accommodation is let to adults. We do not knowingly collect personal data from anyone under 18.
Changes to this notice
If we change how we handle personal data we will update this page and the date at the top. Significant changes will be brought to the attention of current tenants directly.
